Activities:
Matti will write a CV based on a Europass template, a Motivation letter based on an example and a Certificate Supplement to be sent to the receiving organization.

After the placement has been agreed between the institutes, Matti will write the Student exchange application to Tredu. According to the approved application, an official internal decision will be made in Tredu.

Together with his teacher, Matti will prepares and signs a Learning Agreement, which will be taken to the receiving organization to officially agree about the student exchange conditions.

Now Matti is ready to start the Language and Cultural Preparation Course in Tredu.

Activities:
During the on-the-job learning Matti will write his learning diary and before the end of the period he will ensure that the Evaluation document (provided by the sending organization), Learning agreement and Europass Mobility are filled and signed properly and will take these signed documents back to Finland with him.

Final report

Activities:
After the exchange period, Matti will give the report to Online Mobility Tool and writes also a Final Report to the sending organization. He will also take part in the final day of Cultural and Language Preparation course in order to tell other students about his experiences abroad.

Activities:
The two partner institutes, Tredu and SMGS, have agreed through a Memorandum of Understanding the general conditions and procedures of bilateral co-operation in e.g. student exchange. The teacher in Tredu will help Matti to write the necessary documents and applications.

After the Student Exchange Application is accepted the head of department will sign Tredu’s official internal document VIPS, which makes the exchange project authoritative.

When the VIPS is done, Matti can start finding flights and accommodation for his stay in Slovenia with the help from his teacher. The teacher also makes sure Matti takes part in the Language and Cultural preparation course in Tredu. In addition to the preparation course, Matti’s teacher also tells about his own experiences of Slovenia and points out some differences there might be between Slovenian and Finnish model of education and working life.

Europass Mobility document number from Tredu`s international office is acquired and, together with the signed Learning Agreement, a pre-filled Europass is sent to the receiving organization to be filled after the exchange period.

Tredu also takes care of the grant, which is paid to Matti before the exchange period.

Activities:
Sending organization, Tredu, will create the evaluation document according to the relevant studies based on ECVET and send it to the receiving organization, SMGS. Communication between Tredu, Matti and SMGS will happen throughout the exchange period by email, phone and Facebook.

Final report


Activities:
Matti`s teacher will make sure that Matti reports to Online Mobility Tool and also writes the Final Report to be shared in the Tredu Intranet. Teacher and Matti discuss about the exchange period. Matti tells his experiences and evaluates the success of the exchange period. If there are any ideas for improvement, teacher writes them down and goes through them within their own organization. Completed study modules or parts of curriculum are accepted within Matti’s study record.

Activities:
SMGS has agreed and signed a Memorandum of Understanding with Tredu, where the basic procedures for facilitating e.g. student exchanges are described.

SMGS helps Matti to find the on-the-job learning placement from the company and arranges accommodation for Matti. If any special work-related matters are to be acknowledged beforehand, SMGS provides this information forTredu and Matti.

It will then be written into the Learning Agreement, which will be signed by the receiving organization (SMGS and/or the company) right before the on-the-job learning period starts.

Activities:
SMGS helps Matti at his arrival to Slovenia; transportation and orientation are supported in the first days.

SMGS takes care of the tutoring during the exchange period with hosting programme, and signs the necessary certificates and documents before Matti’s return back to Finland.

A Europass Mobility document as well as Evaluation document are filled and signed by the company and/or SMGS and handed to Matti at the end of his exchange period.
