Activities:
Andreas allows the exchange of information between sending and receiving organizations, describing briefly his special needs. He writes the motivational letter addressed to the mobility coordinator in Berlin, describing why he likes to take part in the programme. With a little help from his social worker he starts to prepare the documents for the receiving organization: Europass CV and application in English.

Andreas signs the Learning Agreement, which defines the conditions for the mobility.

Personal transcript

Activities:
Andreas is working at the fish restaurant after the initial week at school. He documents his mobility in Denmark using his On-the-job-learning diary which describes all his tasks and description of the working area. The designated trainer at the restaurant speaks quite good German and helps him to document his learning process. This should be corresponding to the Units of Learning Outcomes. He should evaluate his learning experience using an evaluation document, which documents all involved if the agreements made in advance have been met. After demonstrating through a test that he has achieved the aims described in the learning outcomes, this result is identified and documented in the personal transcript. After filling in and signing the documents with help from the receiving organization, he brings them back to Germany.

Activities:
After successfully returning back to Germany, Andreas fills in the report at the Online Mobility Tool-database. He will show his new skills in the kitchen during a special “Danish Fish Week” in his training place.
He receives the Europass Mobility at a small official “ceremony” in the end.

Activities:
Together with his social worker, Andreas applies for a written confirmation from the vocational counsellor (state official) and state vocational school, confirming the internship abroad. This is needed, because there might be health- or psycho-socially related reasons not allowing him to take part.

The sending institution also contacts his health insurance in order to hear if there are any special insurance-related issues which might have an impact in his stay abroad.

Together with his social worker, Andreas meets the international coordinator in Berlin and gets a small preparation course which covers basic English/Danish language and culture together with some informations and expectations about the internship. Personal empowerment is a crucial part of the preparation. Therefore Andreas discusses “good practices” on how to react and/or behave in special situations, for example when he feels alienated or when facing unsolvable critical situations.  
The Danish partner confirms this special exchange and its special requirements. kiezküchen gmbh prepares and signs the Training agreement, the Memorandum of Understanding and the Learning Agreement. These set out the roles of the involved partners and specify the conditions for the mobility. The learning agreement contains a list of the actual units of learning outcomes, how and when they will be assessed and recognized.
The travel and accommodation arrangements are put together at the European coordinator´s office at kiezküchen, after a final agreement with the receiving partner.

A pre-filled Europass mobility (password protected) is sent to the receiving organization via the Europass database. The Europass can easily be filled out after the exchange period.

Activities:
Because of the special needs of Andreas, the sending organization (European coordinator together with his social worker, mother and/or trainer) communicates with the receiving institutions many times per week in order to be prepared for situations which require immediate pedagogical action.

Communication between Andreas and his trainer/social worker takes place many times a week.

Activities:
After Andreas returns home, the European coordinator insert his mobility experiences into the Mobility tool and makes a qualitative debriefing with Andreas - together with his social worker and trainer.

The sending organisation kiezküchen gmbh contacts an organization who is competent for awarding units or qualifications. It must be verified that rules have been complied with and they officially confirm that achieved learning outcomes are accepted. (This process compares his personal transcripts with the learning agreement. It must be carried out according to the agreements laid down in the Learning Agreement.) Now Andreas learning experience is validated and recognized for his vocational curriculum.

Description of the special needs of the student


Activities:
Upon receiving the documentation from the German partner the international coordinator makes contact to the Hotel and catering department at the college to ask them if it is possible to receive Andreas, both in relation to the timing, the content of the exchange and the special needs of Andreas. One of the teachers, who is normally dealing with Danish apprentices with the same type of problems, is the appointed mentor for Andreas during his work placement. Since he is experienced in arranging this type of work placements he contacts a chef at a local restaurant, who he often cooperates with in relation to this type of students. The chef at the fish restaurant accepts to give Andreas a chance to do his internship there. They agree that during the first week the chefs teacher will come down to the restaurant with Andreas to introduce him to the restaurant and the other staff and to go over the work assignments of Andreas as well as the special attention that must be given to Andreas. The chef speaks and understands quite good German, which helps in the communication.

Activities:
During the first week the appointed mentor takes Andreas with him to his classes. Here Andreas is introduced to EUC Syd and he is integrated with the Danish apprentices both in practical and theoretical lessons. During the first week the appointed mentor accompanies Andreas to introduce him to his workplace. During the work placement, the mentor visits Andreas several times and Andreas knows that he can contact the mentor on the phone if necessary.

There is always pedagogically trained staff available at Andreas dormitory and they make sure that he is taking part in some of the social gatherings arranged for the students living there. So Andreas settles in and is integrated with both, the Danish and the other foreign students. Language is not a barrier, since there are always German speaking students staying at the dormitory.
